Our Contract With You.
If you accept our Formal Quote and want to proceed with booking a trip with us, we will email you to confirm the deposit amount required to confirm your booking, at which point a contract will come into existence between you and us. The applicable Formal Quote, invoice, itinerary, and these Terms together constitute the parties’ agreement. In the event of any conflict among those documents, the provisions and conditions of these Terms govern and control.
Group Leader.
Whether you are a single golfer, or a group of two people, 20 people or more, our contract is with you as the individual who is the lead person, or Group Leader. As the Group Leader, by accepting these Terms, you are accepting responsibility to us for all obligations under this contract and are acting on behalf of and undertaking responsibility for all of the members of your tour party. The Group Leader will provide the names, cell numbers and email addresses of each person in the group.
Our Services.
Scottsdale Collection acts as a tour organizer and booking agent. It does not own, operate, supervise, or control the golf courses, hotels, airlines, restaurants, wineries, vehicles, transportation companies, caddies, guides, or other independent suppliers that provide components of a trip (“Suppliers”). Supplier services are subject to the Suppliers’ own terms and availability. Scottsdale Collection is not liable for any Supplier’s acts, omissions, negligence, delays, cancellations, overbookings, accidents, insolvency, mechanical failures, or other failure to perform. Any claim arising from a Supplier’s services must be pursued against the applicable Supplier.
Itineraries, Tee Times, Weather, and Substitutions:
Scottsdale Collection may modify an itinerary when reasonably necessary because of Supplier availability, operational requirements, safety concerns, weather, pandemic, or circumstances beyond its control, and will use commercially reasonable efforts to arrange comparable substitutions. Scottsdale Collection cannot guarantee any particular golf course, tee time, caddie, hotel, room type, restaurant, vehicle, or other Supplier. It is not responsible for rainouts, adverse weather, course closures or conditions, frost or lightning delays, missed or modified tee times, airline or transportation disruptions, traffic, missed connections, or vendor mechanical breakdowns. Refunds, credits, or rescheduling for affected services are governed by the applicable Supplier’s policy and are limited to amounts actually recovered from that Supplier.
Traveler Changes and Unused Services.
Requests to change dates, names, participants, accommodations, golf, or other itinerary components are subject to availability, Supplier approval, and any additional cost. No refund is due for any service voluntarily declined, missed, or unused by a traveler, including a decision not to play golf when the course remains open. If group size decreases and no replacement traveler is secured, the per-person price for the remaining travelers may increase to reflect redistributed group costs.
Your Responsibilities and Handicap Requirements:
It is the responsibility of each member of your tour party to ensure that they possess all the necessary documentation for travel and entry in the countries visited. This can include passports, tickets, visas, any other travel authorization, and handicap certificates for playing certain golf courses. We are not liable for any denial of entry, access, or refusal of service by any third party due to lack of required personal documentation. Some golf courses/clubs (such as the Old Course at St Andrews, Muirfield, Sunningdale, etc.) will require golfers to meet a minimum handicap. Guests may be required to show a valid Handicap Certificate from an affiliated golf club or national golf association (e.g. USGA handicap card). If you desire the use of a cart (buggy) you will be asked to provide a Medical Certificate or Letter from your doctor. Some golf courses are walking only. Where carts are available we must request them in advance and the club/course may request to see a copy of your Medical Certificate or Doctor’s Letter.
Caddies.
Scottsdale Collection will request caddies for those who wish to use them but be aware they cannot be guaranteed. All caddies are independent contractors and they are not employed by the golf clubs or Scottsdale Collection. There is often a shortage of caddies and you may have to accept having a caddie double bag, when the club allows. If a caddie is secured for you the caddie master or another club official will inform you of the caddie fee and tipping policy. All caddies are paid in cash (in the local currency) directly on the day of their service when your round is complete.
Insurance.
We strongly recommend that you have independent travel insurance, as a standalone policy you purchase separately from your airline or travel agent. This type of travel insurance reimburses prepaid, non-refundable trip expenses — such as flights and hotels — if you must cancel your trip due to unforeseen emergencies like sudden illness, severe weather, or bereavement. We strongly advise that each person take out adequate insurance for medical care and baggage protection. Scottsdale Collection is not responsible for personal injury, accident, illness, or for loss, damage or theft of personal belongings.
Price and Payment.
The price of your tour will be provided in our Formal Quote that also includes your proposed itinerary. Once we have determined, to the best of our ability to arrange the most desirable itinerary (this can take time to canvas the group to be sure all the dates line up, number of days of the tour are established, and most, if not all, of the golf courses are agreed, then we will price up the entire trip and present a Formal Quote to you. When curating every unique tour, we recognize we have to check prices with all third party suppliers, which they reserve the right to change, if booking very far in advance. We will always endeavor to provide the most accurate quote, but ask you to be aware that the price quoted per person is based on the current year’s supplier rates, and Scottsdale Collection reserves the right to amend the per person rate should suppliers strike new rates.
Deposit Payment.
To secure your travel package a Non-Refundable deposit of approximate 35-40% of the total value of the booking (unless otherwise stated and agreed) is required. An example of a lower or higher deposit amount could be because you are booking a trip two years out, and an interim deposit may be required that changes the initial deposit amount.
Balance Payment.
Final full payment is due no later than 90 days before date of travel. For example, if your date of travel is July 1st, then your final balance payment is due by April 1st.
Payment Terms.
Payments will only be accepted in US funds. We also accept payment by ZELLE (no fees either side). If paying by wire all transactions and exchange fees are borne by the client/sender and not Scottsdale Collection. We do not accept payment by other digital financial service companies.
For payments by mail, please make checks payable to Scottsdale Collection and mail to:
Scottsdale Collection
P.O. Box 26355
Scottsdale, AZ 85255
If you want to pay by wire transfer please request our Wire Instructions. We also accept payment by credit card. If paying by Visa or Mastercard, we reserve the right to add a charge of 4.5%. If you are paying by American Express, we reserve the right to add a charge of 5% processing fee.
For tours/trips booked less than 90 days before the start date, 100% of the price is payable immediately upon us issuing your booking confirmation.
CANCELLATION:
Cancellations made by the participant must be made in writing by email to the representative of Scottsdale Collection managing your booking at least 90 days prior to your travel start date. An amount of 35% of the tour cost will be due, including the handling fee plus any liquidated damages, unless the participant is replaced by another individual.
Should the group or an individual member of the group not take part in an element of the planned program, no refunds will apply. An example would be electing not to play golf due to poor weather conditions even though the course is open for play. Should the number of participants reduce for any reason and they are not replaced, the cost per person of the remaining participants may increase due to the transportation costs being redistributed between the smaller number of participants traveling.
IN THE UNLIKELY EVENT SCOTTSDALE COLLECTION HAS TO CANCEL ANY TOUR/SERVICE WE WILL ENDEAVOR TO OFFER OPTIONS TO RE-SCHEDULE. IN TERMS OF REFUNDS, WE WILL OF COURSE REFUND TO YOU IN FULL ANY MONEY PAID UP TO THE DATE OF CANCELLATION EXCLUDING ANY NON-REFUNDABLE AMOUNT THAT WILL NOT BE RETURNED TO US BY OUR SERVICE PROVIDERS.
Force Majeure.
Force majeure means unusual and unforeseeable circumstances beyond Scottsdale Collection’s control or the control of our suppliers; the consequence of which neither Scottsdale Collection, nor its suppliers, could avoid even with all due care, including, but not limited to, war or threat of war; riot; civil strife; terrorist activity (actual or threatened); industrial dispute; technical problems with transport, machinery or equipment; outage or power failures; natural or nuclear disaster; fire; flood, drought or adverse weather conditions; pandemics, epidemics or outbreaks of illness.
In the event of a cancellation or material alteration to the itinerary as a result of the circumstances as described in this clause, Scottsdale Collection at its sole discretion, will either refund to travelers of all payment received in respect of the itinerary less any non-refundable deposits paid in advance to suppliers, or provide a future travel credit for the same value enhanced by any agreement reached with suppliers holding non-refundable deposits. Any refund of payments or future travel credit will be the full extent of Scottsdale Collection’s obligation and liability.
We are not liable for business losses.
If your tour is for any commercial, business or re- sale purpose we will have no liability to you for any loss of profit, loss of business, business interruption, or loss of business opportunity.

Arizona Choice of Law; Mandatory and Exclusive Forum.
Choice of Law. These Terms and any claim, dispute, or controversy arising out of or relating to any booking, Formal Quote, invoice, itinerary, travel service, or relationship between a traveler and Scottsdale Collection, whether arising in contract, tort, statute, or otherwise, shall be governed by and construed exclusively under the laws of the State of Arizona, without regard to Arizona’s conflict-of-law rules.
Forum Selection.
